Adding Trainers to your Business Unit
- To begin, access the settings by selecting "Business Unit" from the left sidebar.
- In the "Operational Settings" section, choose the option for "Trainers and Classes"
- Navigate to the right menu bar and click on "Add New Trainers & Classes"
- Fill in all necessary information about the trainer.
- Select "Add New"
Removing Trainers from Calendar and Business Unit
- To begin, access the settings by selecting "Business Unit" from the left sidebar.
- In the "Trainers and Classes" section, choose the option for "Routes". These are the routes that appear on the calendar.
- Choose the trainer you want to remove and then click on the "Delete" button.
If you encounter an error message stating that the trainer cannot be removed, simply scroll down to the trainer's route page and expand the "Upcoming Appointments" section. Take a look at the future appointment list, resolve any conflicts, and then try deleting the trainer again.
Then, proceed to remove the trainer from the list of employees.
- To begin, access the settings by selecting "Business Unit" from the left sidebar.
- In the "Trainers and Classes" section, select the "Employees" option from the top toolbar.
- Select the trainer you wish to remove and then click on the "Delete" option to disable their access to their Vonigo account.
Removing trainers from both sections of the system is necessary to ensure that they no longer have access to your leads, clients, and schedule.
Setting Trainer Availability Templates
Setting availability templates is crucial for determining each trainer's availability for scheduling appointments, particularly for utilizing the online booking feature for evaluations.
Before setting availability templates, trainers need to be added as employees first.
- To begin, access the settings by selecting "Business Unit" from the left sidebar.
- In the "Operational Settings" section, choose the option for "Availability Templates"
- Navigate to the "Actions" located in the top right corner, and select "Add New Availability Template" to proceed.
- Simply drag and drop the available time slots from below onto the schedule above to set your desired day and time availability.
- Enter a name for the template (e.g. Sarah’s Availability) and click on "Update" to save the template.
This feature ensures that only the times when trainers are available will be displayed on the online booking platform. To test the availability settings for each trainer, simply search for a zip code in the calendar view.
- Next, access the settings by selecting "Business Unit" from the left sidebar.
- In the "Operational Settings"section, choose the option for "Trainers and Classes"
- Define the Trainer "Type" - This specifies the types of appointments that your trainers are able to conduct.
- IE: Puppy Only: Only Puppy Consults and Classes
- IE: BM Only: Only Behavior Modification
- IE: BO Only: Only Basic Obedience appointment types
- IE: All Areas: Can take evaluations and all class types
- Set Group Class Calendar lines with “All Areas - No Evals”
The types of appointments available are determined by the program category when booking the initial evaluation appointment with a lead.

- To begin, access the settings by selecting "Business Unit" from the left sidebar.
- In the "Operational Settings" section, choose the option for "Trainers & Classes"
- Click on the trainer's name and choose "Edit."

Update the 'Type' field with the desired skill sets:
- BM for Behavior Modification
- BO for Basic Obedience
- Puppy
- Select "Update" to save changes
