Understanding Automated and Manual Email Templates
Within the system, there are two main types of email templates designed for communication with leads and clients: Automated email templates and manual email templates.. Listed below are the templates along within their designated categories and additional tips to enhance efficiency.
Automated Email Templates
Automated emails are set up to automatically use the designated office email address as the "Reply To" option.
Make sure that your automated emails are configured correctly by verifying that your location's office email is properly set up.
Follow these steps to ensure your automated emails are configured correctly:
- To begin, access the settings by selecting "Business Unit" from the left sidebar.
- In the "Business Unit Offices" section, choose the option for "Office Data"
- Make any necessary changes to the phone number and Email then click on "Update" to save the updated information.
If managing multiple locations, ensure that you expand the “From” option on the email box to change the location “Reply To” address:

- For managing both location1 and office1, make sure to select the "From" option before sending an email. Ensure that when sending an email to a location1 customer, it is sent from "location1@thedogwizard.com"
If managing a single location, click your name on the top right > “My Profile” > “FROM Email” > Ensure that you input your Location's email address so that replies are directed to the location's inbox instead of your personal email domain.
Automated Email Templates

Evaluation Appointment Template
- This email will be automatically sent to any newly scheduled Evaluations made through Online Booking.
- If you are scheduling an Evaluation using the booking tool, you have the option to uncheck a box in the final stage of the booking wizard to bypass the automated email function. This will prompt you to manually send an email template instead.
- Evaluation details - post evaluation scheduling
- Proposal Acceptance thank you email after client hits accept
- This email will be automatically sent to a client after they accept the proposal
Manual Email Templates
Manual emails are automatically sent to a client or lead based on action completion.
- Phone Evaluation - Provides Phone Evaluation Details
- Evaluation Email - Provides information for an in-person evaluation to be conducted
- Jumpstart Appointment - Sends information for the Adult Dog Jumpstart Appointment
- Puppy Jumpstart Appointment - Sends information for Puppy Jumpstart Appointment
- Puppy/Foundation Welcome Email *Specific template available for Puppy Class
- Freedom Welcome Email
- Puppy Class Welcome Email*
- Graduation Email
- Send Proposal to client for review/approval - Located within the Proposal screen
Where to find Specific Email Templates
Updating Location Specific Email Templates
- To begin, access the settings by selecting "Business Unit" from the left sidebar.
- In the "Business Unit Setup" section, choose the option for "Business Unit Information"
- Select "Email Template Options"
- Expand the desired Email Template by clicking on it, then choose the "Edit" option located at the bottom of the template.
Facility 1 and 2 provide you with the flexibility to customize templates with specific information. Depending on the location, some may offer in-home lessons while others may conduct lessons in parks. For instance, Facility 1 can cater to your in-home lesson instructions, while Facility 2 can focus on park-based instructions. If you only require one email template for the program, simply leave Facility 2 blank.
- Edit the subject and body of the email template ie. "Important Training Information - Jumpstart" * You may reference your Bpro Email Templates, and Copy / Paste. However, this will require additional editing for smart tags.
- When you are satisfied with the content of your email, simply click on the “Update” button to save your changes. Preview the email by going to the calendar or lead/client. The preview in the Business Unit will not show bullet points or clickable links.

Merge Key Codes
Merge key codes in Vonigo are placeholders that you can insert into email templates. When the email is sent or generated, these merge key codes are replaced with actual data from the system, such as customer names, appointment dates, or service details. This allows for personalized and dynamic content without having to manually input each piece of information.

[4] Service Address - To Ensure this behaves correctly, in the Client or Lead page > Locations > Open the Service address > Check the box for “Primary”
[0] Work Order ID - The first lesson will not appear in the list if archived (invoice attached) — temporary solution is to copy/paste one of the lessons and update the date and time to include an archived lesson.
Creating a Hyperlink in Email Templates
Use hyperlinks to guide clients and leads to a hidden URL within your emails or documents.
- Select the below link to generate an HTML Hyperlink: https://webcode.tools/generators/html/hyperlink
- Type: URL
- Target: Blank
- URL: Enter the URL you need in your email template
- Text: Enter what you want to display, IE: “Work for Food - Click Here”
- Other checkboxes: Do not make a selection
- The “Preview” box will show what will appear as a clickable link
- In the code box, select “Copy” to copy the Code that is generated and paste it in your email template where you need the link to appear
- It is recommended to test your email template links before sending these to clients

You’ll want to use this to mask a link in your email so that the client doesn’t see “https://…” but instead sees the TEXT to click on which will route them to the URL.

* The line you want Bold/Underline/Italics must have the START and CLOSE tags on the Front and End of the line. If you do not CLOSE with </x> the rest of the text will have the new formatting.
