Process & Record Credit Card Payments in Vonigo (Vonigo Pay & External Payments)
Step-by-step guide for processing credit card payments in Vonigo, including both integrated Vonigo Pay transactions and recording external payments for accurate invoicing.

First Step:
Ensure an invoice has been created before recording a payment.
Taking a Payment via Vonigo Pay (Integrated Credit Card Processing)
The invoice acts like a basket holding payments. Before processing a credit card transaction, a receipt must be placed in the basket — like placing an egg in it. Once the receipt is created, the payment can be processed.
Step-by-Step Instructions:

Open the Invoice
Go to the invoice where the payment will be applied. -
Navigate to the Payment Tab
In the invoice window, select the Payment tab, then click Create New Payment. -
Select the Payment Method
Choose a method such as Credit Card, Visa, or Account.
Note: This is for internal tracking only. Selecting a payment method here does not charge the card. -
Enter the Payment Amount
Input the amount to be charged. -
Click “Add New Payment”
This creates a payment receipt, but the payment has not yet been processed. -
Run the Payment via Vonigo Pay
In the newly created payment window, open the Actions Menu and select Pay Via Vonigo Payments. -
Wait for Confirmation
A pop-up notification will confirm when the payment has been successfully processed.
You can delete the newly created payment record (the "egg") if needed, as long as the payment has not been run.
Recording a Credit Card Payment Made Outside Vonigo
Use this process to record a payment that was taken through a third-party system such as Square, QuickBooks, or Authorize.net.
Step-by-Step Instructions:

Open the Invoice
Navigate to the invoice to which the payment should be applied. -
Navigate to the Payment Tab
Click on the Payment tab and select Create New Payment. -
Select the Payment Method
Choose a method such as Credit Card, Visa, or Account.
This is for internal records only and will not initiate a transaction. -
Enter the Payment Amount
Input the amount that was received externally. -
(Recommended) Update the Payment Date
Adjust the date to match when the payment was actually made. -
Add a Payment Note
Include a note referencing where the payment was processed (e.g., “Processed via Square on [Date]”). -
Click “Add New Payment”
This saves the payment record to the invoice.
This process only creates a receipt. You can delete it if the payment has not been marked as processed.
